We have a different pricing structure for Traders and Caving Clubs and you should also use this form for booking Staff pitches in the Trade Hall. Select an option using the buttons. Click the ▼ icons for further info.

Groups that are managed by BCRA or BCA such as the Caving Library, LCMLA and CIC should be booked as Clubs but we willl usually waive the charges. SIGs and Regional Councils should be booked as Clubs, and pay the appropriate fee. Everyone else is a Trader.

Info: ▼ — Clubs can book stands at a special rate, but there are no other benefits. You should book and pay for your admission tickets separately and each person on your stand will need to pay for an admission ticket. For our purposes 'caving club' has the same definition that is used by BCA and BCRA – namely clubs that are controlled by their members, and which have a major objective that is in support of the sport of caving, mine exploration, cave science, cave and mine conservation or caver training. Additionally, BCRA's Special Interest Groups are considered to be clubs for the purposes of these rules, as are the national bodies affiliated to BCA, such as the Regional Caving Councils.

Tables and Chairs

Tables really means 'pitches' here. If you do not want us to supply actual tables, just let us know – you are booking the pitch.

Chairs are in short supply. We aim to provide two chairs per table, up to a maximum of four per booking. If you need more, please ask in advance.

Free Admission Tickets

We usually offer one free admission ticket per booked table but this policy is flexible so, if you require more, just list all the names below – one per line. Please also write here any requests you have for your location or groupage of pitches. (e.g. "corner of room", "as usual", "next to ...").


Camping

If you need a free camping ticket, please indicate this below.

Parking Permit

Traders who with to park in the designated staff parking area next to the buildings will need to display a permit inside your vehicle. Note: this permit will not gain you free access to the public parking area elsewhere on the site– it is for the special staff parking area only.

All delegates to Hidden Earth must pay for admission and camping and that includes people manning a staff or club stand. The only exceptions are if you are working in one of the staff teams; are a lecturer or session chair; or if you have paid for a Trader ticket.
